Implementation of the information obligation in the scope of personal data collected and processed by PERSPEKTYWY – candidates

As a candidate for an employee or a contractor for the position indicated in the announcement, your personal data will be processed by the Perspektywy Foundation, with its registered office at  Nowogrodzka 31, 00-511 Warsaw (hereinafter also PERSPEKTYWY), as the Data Controller,  based on the following legal provisions:

  • Regulation (EC) No 1074/2009 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, known as the GDPR (Polish RODO).
  • Act of 10.05.2018 on the protection of personal data.

In order to ensure the correct processing of personal data and its proper security, the Perspektywy Foundation also applies the internal Personal Data Protection Policy, and its employees are additionally bound by professional and/or company secrecy.

The Perspektywy Foundation processes your personal data on the basis of Article 6 section a and b of the GDPR – the data are processed on the basis of consent of the data subject and the processing is necessary for the performance of the contract to which the data subject is a party, or for taking action at the request of the data subject, prior to the conclusion of the contract.

Additional information regarding the processing of your personal data in the Perspektywy Foundation is presented below.

  1. Your personal data will be processed in order to conduct recruitment for the position indicated in the announcement, i.e. to take action at your request as a data subject. Sending application documents in response to the announcement is understood as a request to include your candidacy in the recruitment process for the position indicated in the announcement, and thus accepting the fact of personal data processing in the recruitment process.
  2. PERSPEKTYWY require candidates to provide only the data indicated in Article 221 1 of the Labour Code, i.e.: first name (names) and surname; date of birth; contact details – telephone number, email address, residence address – according to the candidate’s preferences; education; professional qualifications; the course of employment so far.
  3. Including by the candidate in the application documents personal data exceeding the scope indicated in point 2 (the so-called redundant data, such as an image) is considered as voluntary consent to their processing by the Administrator. This consent may be withdrawn at any time, which does not affect the recruitment process or the way in which the application is considered.
  4. Personal data of a candidate who has not been selected for the position indicated in the announcement will be deleted within 3 months from the date of receipt of the application documents, unless the candidate agrees to their processing during future recruitment processes. In such case, the data will not be deleted from the electronic database and will be processed for a maximum period of 2 years from the date of receipt of the application documents, in order to possibly offer the candidate participation in subsequent recruitment processes, which will take place in the period indicated above and will relate to the position for which the candidate applied or similar.
  5. If you want the submitted application documents to be included in future recruitment processes, on conditions indicated in point 4, please include the following clause in the text:

I agree to the processing of my personal data, included in the application documents submitted in the recruitment process for the position …. (enter the name of the position) by the Perspektywy Foundation, with its registered office at Nowogrodzka 31, 00-511 Warsaw, also for the purposes of future recruitment for the same or similar positions.

  1. If you intend to send the application documents to PERSPEKTYWY even if no recruitment processes are currently conducted by PERSPEKTYWY, please add the following clause:

I agree to the processing of my personal data, included in the submitted application documents, by the Perspektywy Foundation, with its registered office at Nowogrodzka 31, 00-511 Warsaw, for the purposes of future recruitment processes for the position of…. (enter the name of the position) or similar for a period of two years from the date of submission of this application.

Documents that do not contain the above clause will be deleted within the next business day after receipt and will not be included in any recruitment process.

  1. After PERSPEKTYWY have received your application documents, your personal data is placed in an electronic database.
  2. In the case of your employment for the position indicated in the announcement, your personal data will also be transferred to the relevant social security authorities and tax authorities, and in the course of employment may also be transferred to other state and local government institutions authorised to request them under provisions of the law, funders and subcontractors, in order to perform tasks on behalf of the Administrator.
  3. PERSPEKTYWY use Microsoft Corporation software. Therefore, your data may be transferred outside the European Economic Area, but only to the aforementioned entity to the extent necessary to use the software it provides. Microsoft Corporation applies the data protection policies agreed between the European Union and the Government of the United States of America.   4. Your personal data will not be processed in an automated manner.
  5. You have the right to request from PERSPEKTYWY as the Data Controller:
  1. access to your personal data;
  2. rectification of your personal data;
  3. deleting your personal data;
  4. limiting the processing of your personal data;
  5. receiving your objection to the processing of your personal data;
  6. transferring your personal data.
  1. You have the right to lodge a complaint with the supervisory body – the President of the Office for Personal Data Protection.

Objection to data processing shall not affect the lawfulness of the processing carried out prior to its submission.
